We’re seeking a Contract Administrator with strong communication and multi-tasking skills to manage bids, contracts, and pricing lists. 

This is a remote position based out of your home office. Onboarding training will happen at Fire-Dex HQ in Medina, Ohio. There is a possibility of additional visits back to HQ and other light travel throughout the year.

Additional responsibilities include:

  • Manages bid submissions for Fire-Dex & Gear Wash
  • Analyzes potential risks with contract agreements
  • Provides training to employees in order to ensure the contract is understood and used correctly
  • Supplies dealer network with supporting documentation for contract proposals
  • Collaborates with dealer network to obtain contract information
  • Maintains contract database and all associated files
  • Manage existing contracts to ensure all requirements are met, including appropriate reporting
  • Monitors for renewals & price increases
  • Generates reports for contract sales activity
  • Manages all Fire-Dex price lists and changes and ensures accuracy of pricing on documents, both internally and externally
  • Create Fire-Dex specifications
  • Other duties as assigned


  • Bachelor's degree in Business Administration is preferred
  • Experience in review, preparation, negotiation and monitoring of proposals and contracts
  • Ability to understand and interpret technical data and specifications
  • Possess a high attention to detail and accuracy
  • Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and can remain organized with and keep track of multiple sources of information and data
  • Experience with the following systems is preferred: Salesforce or other CRM (customer relationship management) Software
  • Ability to work from a home office
  • Proficiency to communicate well with all different levels and customers both inside and outside of the organization, including verbal, electronic and written
  • Efficient with multi-tasking, including being productive while handling re-directions and interruptions based upon business needs, therefore can evaluate and change priorities daily and perform efficiently within a fast-paced team environment
  • Possess strong problem-solving skills, including the ability to deal with problems involving several concrete variables in standardized situation
  • Follow-through and diligence
  • Ability to work in a team as well as possess self-accountability
  • Values, solicits, and utilizes input from others
  • Must be flexible and accommodating
  • Must also be familiar with current software such as Microsoft Word, Excel and Outlook
  • Ability to travel up to 10% of the time for training and other meetings, likely at headquarters
