We’re seeking a multi-tasking and bilingual Customer Service Representative/Production Assistant who will be working onsite and be primarily involved in working with Customers and supporting our Production team.

Hours are usually 8:00 am- 4:00 pm, Monday through Friday

Responsibilities include:

  • Provide introductory information to new customers
  • Respond to customer inquiries via phone and email about services offered and in-house work orders
  • Troubleshoot common service issues and escalate queries and concerns as appropriate
  • Be the liaison between Production Team and Customers
  • Enter orders in a customized database or tracking system
  • Create reports, mainly utilizing Microsoft Excel
  • Coordinate shipments using online shipping portals, including UPS, USPS, and freight
  • Process purchase orders to and from customers
  • Process credit card payments
  • Keep inventory of office and production supplies and orders as needed
  • Other duties and projects as assigned

Qualifications:

  • High school diploma, GED or equivalent
  • Previous customer service and office administration experience
  • Proficiency in Microsoft Office, especially Word and Outlook and advanced Excel skills
  • QuickBooks experience is a plus
  • Ability to learn new systems
  • Bilingual in speaking, writing, and translating both English and Spanish is required
  • Proficiency to communicate well with all different levels and customers both inside and outside of the organization, including verbal, electronic and written and especially possess strong phone etiquette and have a friendly and welcoming demeanor
  • Ability to work in teams as well as possess self-accountability
  • Has a solution focused mind-set
  • Must be able to handle stressful situations with professionalism
  • Possess strong problem-solving and analytical aptitude, including the ability to deal with problems involving several concrete variables in standardized situations
  • Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and have the ability to remain organized with and keep track of multiple sources of information and data with attention to detail
  • Efficiency while multi-tasking and accommodating re-direction and interruptions with flexibility
