Become an Office Administrator

 Job Description:

Ready to:

Provide office support with a variety of clerical, order entry, accounts receivable activities and related administrative tasks. Responsible for answering and directing incoming phone call, mail distribution, requisition of supplies as well as additional clerical duties. Additional duties include:

  • Answer and direct incoming calls to the appropriate associates
  • Greet visitors and customers
  • Receive, sort and distribute mail
  • Assist in ordering, receiving, stocking and distribution of office supplies
  • Respond to customer requests in a timely manner
  • Develop strong working knowledge of ERP system
  • Enter work order charges daily per production needs
  • Accurately enter and create sales orders, confirm with customers and ship orders in a timely manner
  • Process and send invoices per company procedures
  • Provide human resource support to company and employees
  • Process payroll hours per company policies
  • Maintain accounts receivables to established company targets
  • Create purchase orders to complete jobs as directed
  • Maintain organized files for customers, suppliers and other account records and forms
  • Maintain organized and accurate inventory
  • Troubleshoot and resolve semi-complex problems and make quality decisions in a timely manner
  • Performs filing and copying
  • Performs other duties, as assigned

Hours are 7:30 am- 4:00 pm, Monday through Friday

What You Need:

  • High school diploma or equivalent, an associate’s degree is a plus
  • Previous office administration experience, including accounting related responsibilities
  • Proficient computer skills in Microsoft Office with strengths in Word, Excel and Outlook
  • Proficiency to communicate well with all different levels and customers both inside and outside of the organization, including verbal, electronic and written
  • Ability to work in teams as well as possess self-accountability
  • Must be able to handle stressful situations with professionalism
  • Ability to remain organized with and keep track of multiple sources of information and data
  • Efficient with multi-tasking, including being productive while handling re-directions and interruptions based upon business needs
  • Follow through and diligence
  • Must be flexible
  • Possess a strong sense of urgency
  • Possess strong problem-solving skills, including the ability to deal with problems involving several concrete variables in standardized situations
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards
