We’re currently seeking a qualified Office & Accounting Assistant to oversee the front desk of our headquarters while using their strong communication, clerical and multi-tasking skills to provide office support with a variety of administrative, accounts payable and receivable activities, human resources support, and related tasks. This is an on-site position located at 780 South Progress Dr, Medina, OH 44256.

Hours are usually 8:00 am- 5:00 pm, Monday through Friday

Responsibilities include:

  • Front desk duties:
    • Answer and direct incoming phone calls to the appropriate associates
    • Greet visitors in a professional manner
    • Process, sort, and route incoming and outgoing mail
    • Oversees security fob system
    • Coordinate and schedule appointments and meetings
    • Monitor and manage inventory of office supplies and distribute
    • Oversee the vending machine and break room supply service company
  • Accounting Assistant duties:
    • Supports and assists in accounts payable and receivable functions including monthly closings
    • Billing of daily shipments
    • Perform filing and copying
    • Compile and prepare routine reports and summaries
    • Maintain confidentiality of all financial data
  • Human Resources duties:
    • Assist with the administration and communication of interviewing and onboarding tasks
    • Assist with hourly attendance tracking
    • Form and data collecting, filing, and recordkeeping
  • Other duties and projects as assigned

Candidates should possess the following:

  • High school diploma or equivalent, an Associate’s degree is a strong plus
  • Office administration experience
  • Accounting, bookkeeping, and/or billing related experience
  • HR administration or coordination experience is a plus
  • Proficient in Microsoft Office, with advanced knowledge of Excel, Word and Outlook
  • Ability to learn new software and systems
  • Proficiency to communicate well with all different levels and customers both inside and outside of the organization, including verbal, electronic and written and especially possess strong phone etiquette and have a friendly and welcoming demeanor
  • Possess a high attention to detail
  • Ability to work in teams as well as possess self-accountability
  • Must be able to handle stressful situations with professionalism
  • Must be flexible and accommodating to handle a variety of expectations while being efficient while muti-tasking and accommodating re-direction and interruptions
  • Possess strong problem-solving and analytical aptitude, including the ability to deal with problems involving several concrete variables in standardized situations
  • Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and having the ability to remain organized with and keeping track of multiple sources of information and data
